Illustrative scenario · Allied health, Mornington
One reception desk, three jobs at once
A Mornington physio practice with two practitioners and one person on the desk. Between greeting arrivals, taking payments and answering the phone, confirmation calls slip to late afternoon — so Monday no-shows stay high and the 4pm callers who wanted a first appointment end up booking somewhere on Main Street instead.
What I'd deploy:
- Automated SMS confirmations the day before, with replies captured and actioned
- Overflow calls answered on the first ring so the desk can finish the person in front of it
- New-patient intake completed before the visit and synced to the practice system
- Weekly call-log review for the first month, then monthly
The arithmetic to run on your own numbers: at 30 appointments a day, recovering one no-show per day and converting two extra new-patient calls a week covers a managed workflow several times over. Use your own fee and your own no-show rate — not mine.
