Answering Service — Australian Small Business

A front desk, without hiring one.

Most Australian small businesses cannot justify a full-time receptionist, so the phone gets answered by whoever is free — and missed entirely when nobody is. Lumomatics runs a managed answering service that picks up every call on the first ring, handles the routine ones end to end, books appointments into your calendar, and bills a flat monthly fee rather than charging you per call.

01 The Problem

The phone is everyone's job, so it is nobody's.

A small business rarely decides to miss calls. It happens structurally. There are four of you, the work is the priority, and the phone rings while all four of you are doing it. Whoever is nearest picks up, loses their thread, takes a message on the back of an invoice, and the callback happens tomorrow if it happens at all.

The cost is invisible, which is the real problem. A missed call leaves no record. You never find out that the caller rang two competitors afterwards and booked the second one. There is no line in your accounts labelled work we did not win because nobody answered, so it never gets managed — while every software subscription you hold gets scrutinised at renewal.

Hiring is the obvious fix and usually the wrong one at this size. A part-time receptionist in Australia costs well beyond the hourly rate once superannuation, leave, training and cover are counted, and they are still only at the desk during business hours. The calls you most want answered — early morning, evening, weekend — arrive when nobody is there.

02 How To Choose

Five questions to ask any answering service.

These are the questions worth asking whoever you are considering, including us. The headline monthly price is the least informative number in the comparison.

1. What happens on a call it cannot handle?

Every service hits its limit. What matters is whether the caller gets warm-transferred to a real person on rules you control, or simply gets a message taken and a promise of a callback. Ask to see the escalation path written down.

2. Can it write into your calendar?

A message you still have to action is work moved, not work removed. The gap between a service that takes a message and one that completes the booking during the call is the entire value of the category.

3. How does it bill?

Per-call and per-minute pricing means your invoice peaks in your busiest month — the month you least want a surprise. Flat monthly pricing with included minutes is predictable. Ask what happens when you exceed the included volume, and get the overage rate in writing.

4. Is it trained on your business, or reading a script?

A shared call centre works across many accounts and cannot know your service area, your pricing, or which jobs you decline. Callers notice. Ask how much of your actual business goes into the setup, and who does that work.

5. Who owns the number and the call records?

If leaving means losing your phone number or your history of customer calls, you are not a customer, you are captive. Confirm portability before you sign, not after.

03 Fit

When this works, and when it does not.

A good fit if

  • Your calls follow patterns — enquiries, bookings, reschedules, hours, quotes
  • One won job is worth substantially more than a month of the service
  • Nobody is permanently on the front desk, or the desk is unattended after five
  • You are losing calls while doing the actual work
  • You want the booking finished on the call, not a message to action later

Not a good fit if

  • Most of your calls are complex, sensitive, or emotionally charged
  • Every call is genuinely unique and follows no repeatable shape
  • Your call volume is low and each job is worth very little
  • You need a named person your regulars already know by voice
  • You are not willing to spend a few hours documenting how your business answers questions

If you land in the right-hand column, we will tell you on the call rather than sell you a plan that will not work. A bad-fit client costs us more than the revenue is worth.

04 What It Costs

Flat monthly, not per call.

Plans run from AUD $349 a month including 300 call minutes, up to AUD $849 a month for 1200 minutes and multi-line answering. Beyond your included minutes the rate is AUD $0.5 a minute. Setup is a one-off, from AUD $1500 for a trade or professional office and AUD $2500 for a clinic needing booking integration and privacy documentation. No lock-in contract.

Every engagement starts with a Workflow Clarity Audit at AUD $399, credited in full toward setup. That week is where we learn what your callers actually ask for — which is the difference between an answering service that sounds like your business and one that sounds like a call centre.

05 Questions

Small business answering service questions.

What does an answering service for a small business actually do?

At minimum it stops calls going to voicemail: someone — or something — picks up, takes the caller's details, and passes them to you. A managed service goes further and finishes the job on the call, answering the routine questions, qualifying the enquiry, and booking the appointment into your calendar while the caller is still on the line. The difference matters because a message you have to action later is still work sitting on your desk.

How do I choose the best phone answering service for my small business?

Compare five things and ignore the headline price until you have. What happens on a call it cannot handle, and who does it reach. Whether it can write into your calendar or only take a message. How it bills — per call, per minute, or flat monthly — because per-call pricing punishes exactly the busy months you want. Whether it is trained on your business or reading a generic script. And who owns the phone number and call records if you leave.

The full comparison, side by side

Is an answering service worth it if we only get a few calls a day?

Often yes, but not always, and the honest test is the value of one job rather than the number of calls. A business taking five calls a day where a converted enquiry is worth thousands loses more to one missed call than the service costs for a month. A business taking fifty low-value calls a day is a different calculation. Run your own numbers before you commit.

Work it out on your numbers

How much does a small business answering service cost in Australia?

Traditional services usually bill per call or per minute, so the invoice moves with your busiest month. Lumomatics plans are flat: from AUD $349 a month including 300 call minutes, with AUD $0.5 a minute beyond that, and a one-off setup from AUD $1500. No lock-in contract.

What the first year actually costs

Does it cover after hours and weekends?

Yes, and for most small businesses that is where the return is. The call that comes in at 7pm or on a Saturday is the one your competitors are also missing, so it is disproportionately likely to convert to the business that picks up. Coverage is the same at 2am as at 2pm — there is no after-hours loading.

What if I would rather a real person answered the phone?

That is a legitimate preference and sometimes the right one. If your typical call is complex, sensitive, or emotionally charged, a person handles it better than any AI will, and we will say so rather than sell you the wrong thing. Where an AI receptionist wins is repetitive, high-volume calls that follow a pattern: enquiries, bookings, reschedules, hours, quotes, triage.
