The Radiology Report That Cost Hours Every Week
Back when I worked as the IT System Administrator for the Radiology Department at the Alfred Hospital, one of my daily responsibilities was facilitating the report run from our Radiology Information System for the billing supervisor.
The process, when I walked into the role, looked like this:
My predecessor would manually log into the system every morning, run a SQL query, copy the results into an Excel spreadsheet, and email it to the billing supervisor. The supervisor would then copy that data into their own spreadsheets, run pivot tables, massage the formatting, and eventually get the numbers into a shape they could actually use.
It worked. Every day. The reports went out, the billing got done, and nobody complained.
But it wasted hours every week. Hours that could have been spent on literally anything else.

The Automation Trap
I automated my part of the process. Scheduled tasks. Scripts. The data extraction became hands-off. But the rest of the pipeline stayed exactly as it was — manual copy-paste, manual massaging, manual everything — because that’s what the recipient was used to. The process had been the same for years. Nobody had ever asked if there was a better way.
So I learned an important lesson early: automating one step of a manual workflow does not fix the workflow.
You still have the person at the other end doing thirty minutes of copy-paste and pivot-table gymnastics every morning. You still have the risk of a mistyped cell or a stale formula. You still have the silent time tax that nobody notices because “that’s just how it’s done.”
The Same Problem, Just Smaller
I see this exact pattern in small businesses every day. Not with SQL queries and pivot tables — with quotes, customer follow-ups, job scheduling, data entry. The tools change, but the shape of the problem is the same:
A task that takes ten minutes a day, repeated five times a week, adds up to over forty hours a year. And it’s usually not one task — it’s six or seven of them.
The quotes that get copied from one system into an email instead of sending straight from the quoting tool. The customer intake forms that get printed, filled out by hand, and then keyed back into a computer. The job notes that live in three different places (text messages, sticky notes, and half-filled spreadsheet cells).
Nobody builds these processes on purpose. They evolve. Someone figured out a way to get the job done, it stuck, and now it’s “how we’ve always done it.”
Where the Real Leverage Is
The fix isn’t buying more software. It’s stepping back and looking at the whole workflow — from trigger to completion — rather than optimising one piece in isolation.
That’s the whole idea behind the Workflow Clarity Audit. It’s not a tech audit. It’s a common-sense look at how work actually flows through your business. Where the friction is. Where the duplicated effort lives. Which of those ten-minute daily tasks are actually one fix away from being a thirty-second no-brainer.
Most of the time, the highest-impact changes aren’t even technical. They’re structural — better templates, cleaner handoffs between people and tools, a simple prompt that turns a five-minute writing task into a paste-and-tweak.
The Prompt Angle
The AI Prompt Operating Kit exists for exactly this reason. It’s not a course on “how to use AI.” It’s a set of structured prompts and templates designed to eliminate the recurring writing and admin tasks that eat up time — drafting quote follow-ups, summarising job notes, writing polite reminder emails. The kind of work that’s simple but repetitive, and that most people never think to optimise because it only takes five minutes.
Five minutes, every day, for a year: twenty hours. That’s half a working week.
What I Walked Away With
I left that Radiology Department role with more than just scripts that ran on a schedule. I learned that manual processes persist not because people are lazy, but because nobody has stopped to ask whether there’s a better way. The default state of any business process is “keep doing what works.” And that’s fine — until you realise that “works” and “works efficiently” are not the same thing.
If you’ve got a process that works but quietly costs you an hour or two every week, it’s worth a second look. The fix is usually simpler than you think.
