Type “best AI assistant for customer enquiries” into a search engine and you’ll get a listicle of chatbot vendors, most of it written by the vendors. What you won’t get is the question that actually matters: which channel are your enquiries arriving on?
Because “AI assistant” isn’t one product. It’s at least four different tools, and the best one for a physio clinic drowning in phone calls is useless to an agency drowning in email. Here’s the honest map.
The four kinds, and who each suits
1. Website chat assistants. A widget on your site that answers questions and captures enquiry details around the clock. Suits businesses with steady website traffic and repetitive pre-sales questions: pricing, availability, service areas. The trap is a chatbot that can’t actually do anything. If a conversation doesn’t end with a captured lead, a booked appointment, or a clean handover to a human, you’ve built a slower FAQ page.
2. Email assistants. AI that reads incoming enquiries and drafts replies in your tone for you to review, or files and routes messages by content. Suits professional services and any business where enquiries arrive long-form and nuanced. This is the lowest-risk entry point, because a human still approves everything before it leaves the building.
3. AI voice agents. The heavy hitter for phone-first businesses: trades, clinics, hospitality. Answers the call you physically can’t take, in a natural voice, qualifies the enquiry, books the appointment, and texts you a summary. 4. General-purpose assistants like ChatGPT, Claude, and Gemini. Superb for drafting: reply templates, quote text, FAQ answers. Plenty of small businesses get real value using them manually. Just be clear that’s assistance, not automation.
The honest selection rule
Count a week of enquiries by channel. Phone-dominant: voice agent first — and see what an AI admin assistant can actually take off a tradie’s plate for the wider picture. Email-dominant: email drafting and routing first. Web-traffic heavy with thin conversion: chat, but only wired to a real booking or capture action.
Then apply the second rule, which the listicles skip: the assistant is only as good as what it’s connected to. An AI that answers beautifully but leaves the details in its own dashboard has just created another inbox to check. The enquiry needs to become a CRM record, a booked slot, or a follow-up task automatically. Rough shapes, so you can budget before talking to anyone. Website chat and email tools mostly run as monthly software subscriptions, from cheap to moderate depending on volume and how much configuration help you buy. - No handling the sensitive stuff. Complaints, distressed callers, and anything clinical or legal escalate to a human immediately, with the context captured so the customer doesn’t repeat themselves.
