AI readiness, without the theatre

AI Readiness Audit for Victorian Small Businesses

Start with the workflow. Add AI only where it earns its place.

01 Clarity before tools

Start with the workflow, not the AI.

A messy process does not become a good process because an AI tool sits in the middle of it. If responsibilities are unclear, information is scattered, or nobody checks the result, automation usually makes the confusion move faster.

I first map what happens now. Then I look at where a useful tool could remove repeated work, where a simple template is enough, and where a person should remain responsible.

If your starting concern is broader than AI, read the full Workflow Clarity Audit. It is the same fixed-scope service.

02 The review

Five checks before an AI tool earns a place.

  1. 01

    The workflow

Is the process clear enough to improve, or is the team still making it up differently each time?

  2. 02

    The tools

Which system owns each step, where information is copied, and whether the current stack can support a sensible change.

  3. 03

    The information

Whether the information needed is available and consistent, plus any privacy or access constraint that changes the recommendation.

  4. 04

    The people

Who owns the workflow, who needs to check the output, and whether the team can use the change without creating more work.

  5. 05

    The first safe step

The smallest useful improvement that can be tested before anyone commits to a large build or another monthly subscription.

This is an operational review, not legal, privacy, cyber-security, or financial advice. Where specialist advice is needed, the audit says so.

03 Good fit

Useful when the question is practical, not fashionable.

Worth reviewing now

  • Repeated admin is stealing time every week.
  • Enquiries, quotes, intake, or handoffs are being missed.
  • You have several AI ideas but no sensible order for them.
  • You want an independent view before buying more software.

Probably not ready yet

  • There is no clear operational problem to solve.
  • No one can own or approve a workflow change.
  • You want a large custom build before proving one workflow matters.
  • The goal is simply to say the business uses AI.
04 Examples, not case studies

What the review can look like in a service business.

Illustrative trades scenario

Missed calls become an organised callback queue

A trade business is losing enquiry details while the owner is on the tools. The review tests whether call capture, an immediate acknowledgement, and a structured callback task are useful before considering a full voice agent.

Illustrative clinic scenario

Intake improves without handing clinical judgement to AI

A clinic has repeated intake and reminder work. The review separates safe administrative assistance from clinical decisions, keeps the practice system as the source of truth, and flags privacy constraints early.

Illustrative professional-services scenario

Client onboarding stops depending on memory

A small advisory firm repeats the same emails, file setup, meeting notes, and handoffs. The review identifies which steps can use templates or automation and where a person should remain responsible.

These are illustrative situations, not client results or performance claims.

If the immediate problem is not knowing which enquiries turn into work, use the practical lead-source tracking guide and template before adding more reporting tools.

05 The deliverables

What you receive.

  1. 01

    Workflow pain map

A visual or structured summary of how work currently moves through the business, with friction points and unclear handoffs marked clearly.

  2. 02

    Top 3 improvement opportunities

The three places where AI, automation, or a better process could remove the most repeated work. Each is explained in plain English.

  3. 03

    One recommended quick win

The first workflow worth fixing, chosen for practical impact and reasonable effort, with the tools, prompts, or templates John would use.

  4. 04

    Reusable prompts and templates

A small set of useful prompts or document templates tailored to the workflow, where they genuinely help.

  5. 05

    Implementation roadmap

A short, sequenced plan for what to do first, second, and third, including what should stay manual for now.

  6. 06

    Tool recommendations

Practical recommendations that start with the current stack. Lumomatics has no affiliate or reseller deals.

The audit does not promise a generic scorecard. It gives you findings and next steps that can survive contact with the way the business actually works.

06 The process

A bounded review, delivered within seven days.

  1. Day 1

    Book the audit

Complete the short intake form and pay via Stripe, or ask John a question first if you would rather talk it through.

  2. Days 1–2

    Complete the questionnaire

Describe the tools, repeated work, handoffs, current AI use, and where things get stuck. It takes most people 20–30 minutes.

  3. Day 3

    Optional 30-minute call

If a call would make the workflow clearer, John books one. If the questionnaire tells the story, there is no meeting for the sake of it.

  4. Days 3–6

John maps and reviews the workflow

The work is mapped, friction is identified, and each AI or automation idea is tested against the real process.

  5. Day 7

    Receive the audit

The audit arrives as a PDF and shared document, with an optional short Loom walkthrough explaining the reasoning.

  6. After delivery

    Use the 14-day Q&A window

Come back with questions about the findings or next steps for 14 days at no extra cost.

Why John

Reliability first. Cleverness second.

07 Practical judgement

Critical systems thinking, grounded in small business.

I spent 25 years in IT operations, including hospital radiology systems at the Alfred and the Austin and diagnostic imaging support for GE HealthCare. In those environments, a system has to be reliable, understandable, and safe to operate.

I also built and sold a local gardening business. I know the other side of the desk: calls arriving while you are working, quotes waiting until tonight, and important details living in your head.

That combination is why the recommendation may be AI, a straightforward automation, a better template, or simply a clearer process.

Price and coverage

One audit. One price. A clear next step.

Lumomatics is based in Red Hill on the Mornington Peninsula. Peninsula and south-east Melbourne businesses get the audit on-site and in person; the rest of Victoria and Australia is covered remotely.

08 FAQ

Questions worth answering before you book.

Is this different from the Workflow Clarity Audit?

It is the same fixed-scope Workflow Clarity Audit, viewed through an AI-readiness lens. The price, process, delivery time, and booking flow are the same. This page is for owners whose starting question is whether AI is useful for their business.

What does AI readiness mean for a small business?

It means the workflow is clear enough, the right information is available, the tools can support the change, and someone owns the result. If those foundations are missing, the sensible first recommendation may be to tidy the process before adding AI.

Do I need to know anything about AI?

No. The audit is for business owners who want a practical answer, not technical training. John explains what is useful, what is risky, and what can stay manual in plain English.

Will I receive an AI readiness score?

No generic score is promised. You receive evidence-based findings about the workflows reviewed, the most useful opportunities, the constraints that matter, and a practical order for the next steps.

What about customer data and privacy?

You only share the systems and information needed to understand the workflow. Where an idea touches personal or sensitive information, the audit flags that constraint and recommends a safer approach or further specialist advice.

Is this only for businesses in Victoria?

No. Lumomatics is based in Red Hill on the Mornington Peninsula. Peninsula and south-east Melbourne businesses get the audit on-site and in person — John walks your actual workflow, in your actual office. Businesses further afield are supported remotely, with the same process. The Victoria focus helps local owners find the service; it does not limit delivery.

What will I receive?

You receive a workflow pain map, the top three improvement opportunities, one recommended quick win, useful prompts or templates, an implementation roadmap, tool recommendations, and a 14-day Q&A window.

Will I have to buy new software?

Not by default. The review starts with the tools already in the business. A new tool is only recommended when it solves a clear problem and earns its place.

Can Lumomatics implement the recommendations?

Yes, if the audit identifies a worthwhile build. You can also take the plan and implement it yourself. Any setup, build, or managed service is scoped and quoted separately.
