01 What it is

A clear-eyed look at where your business is leaking time.

Most small businesses know something in their workflow is broken. They just can't pinpoint exactly where — or which fix would make the biggest difference.

The Workflow Clarity Audit answers both questions.

We map how work actually flows through your business today: where leads come in, how customers are handled, where information gets entered (and re-entered), what gets followed up, what gets forgotten. Then we identify the two or three places where a simple change — a template, an automation, an AI prompt, a tool swap — would save you the most time for the least effort.

You walk away with a written plan you can act on yourself, hand to a virtual assistant, or bring back to us for implementation. Your call.

02 Deliverables

What you receive

  1. 01

    Workflow pain map

A visual or structured summary of how work currently flows through your business, with friction points marked clearly. This alone often surprises owners — seeing the workflow on a page makes the problems obvious.

  2. 02

    Top 3 automation opportunities

The three highest-impact places where AI, automation, or better systems would save the most time. Each one explained in plain English with estimated time savings and effort to implement.

  3. 03

    One recommended quick win

The single workflow we recommend you fix first — the one with the best ratio of impact to effort. Including the specific tools, prompts, or templates we'd use.

  4. 04

    Reusable AI prompts and templates

A small library of ready-to-use AI prompts and document templates tailored to your business — email reply templates, quote drafts, customer follow-up prompts, or note summarisation prompts.

  5. 05

    Implementation roadmap

A simple, sequenced plan for what to do first, second, and third. No 50-page strategy documents. Usually 1–2 pages of clear next steps.

  6. 06

    Tool recommendations

Practical suggestions for the tools that fit your business, prioritising low-cost and no-code options. We have no affiliate deals — recommendations are based on fit, not commissions.

03 The process

How it works, end to end.

  1. Day 1

    You book

You complete a short intake form and pay via Stripe, or book a discovery call first if you'd rather talk it through.

  2. Days 1–2

    Deep-dive questionnaire

After booking, you receive a longer questionnaire about your current tools, processes, and where things get stuck. Plain English, no technical knowledge required. Most people complete it in 20–30 minutes.

  3. Day 3

    Optional 30-minute call

If a call would help us understand your workflow better, we book one. Some businesses skip this and let the questionnaire do the work — both are fine.

  4. Days 3–6

    We do the work

We map your workflow, identify the friction points, build the recommendations, and prepare your prompts and templates.

  5. Day 7

    You receive the audit

Delivered as a PDF report and shared document, with an optional 10-minute Loom video walkthrough so you can hear the reasoning behind each recommendation.

  6. After delivery

    14-day Q&A window

You have 14 days to come back with questions about anything in the report. No extra cost.

04 Your time

What we need from you.

We've designed the audit to need very little of your time. About 60–75 minutes total.

You don't need technical knowledge, you don't need to prepare anything, and you don't need to tidy up your systems before we look at them. Messy is what we expect — and messy is what we work with.

Time required

  • 30 min completing the post-booking questionnaire
  • 30 min optional discovery call (if booked)
  • 15 min sharing screenshots, examples, or access where helpful
05 Fit check

Is this right for your business?

A good fit if you:

  • Run a small business with repeated admin tasks that eat hours each week
  • Use everyday tools — email, spreadsheets, forms, calendars, a CRM, a job management app
  • Have noticed missed follow-ups, duplicated work, or information getting lost between tools
  • Want clear practical recommendations you can act on, not a 50-page strategy document
  • Are open to spending modestly on tools or implementation if the case is clear

Probably not a fit if you:

  • Are looking for free general AI advice rather than a specific workflow review
  • Want custom enterprise software built on a small budget
  • Don't have access to your own systems or tools
  • Aren't sure your business has any specific workflow problem

Not sure which side of the line you're on? Send a quick message and we'll tell you honestly.

07 FAQ

Frequently asked questions.

How long does the audit take?

You'll receive your full report within 7 days of completing the post-booking questionnaire. Often sooner.

Do I need to know anything about AI?

Not at all. The audit is designed for business owners who want practical help, not technical training. We translate the AI side into plain English.

Will I have to buy a bunch of new software?

No. Most recommendations use tools you already have or low-cost options under $30/month. Where a paid tool is genuinely the best fit, we say so — and explain why.

What if I don't like the recommendations?

Come back to us within 14 days of delivery and we'll revise them. The audit isn't done until you have a plan you'd actually act on.

Do you implement the workflows for me?

We can. After the audit, you can choose to take the plan and run with it yourself, or engage us for done-with-you setup or done-for-you implementation. Pricing for implementation is quoted separately based on scope.

Is this just for Mornington Peninsula businesses?

No. Lumomatics is based on the Peninsula and we love working with local operators, but the audit works the same way for businesses anywhere in Australia.

What about my data and privacy?

We only look at the systems and information you choose to share. Nothing is shared, sold, or used to train any AI model. Full details in our privacy policy.

Can I pay by invoice instead of card?

Yes. Get in touch and we'll send a Stripe invoice or bank transfer details.

What if my business is too messy / too small / too weird?

Honestly, that's the entire target market. If you have repetitive admin and a real desire to fix it, the audit works.

08 After the audit

You own the deliverables. Take them anywhere.

  1. 01

    Do it yourself

The plan is written so a non-technical owner or assistant can follow it. Most quick wins are implementable in a few hours.

  2. 02

Hand it to your team or VA

The roadmap is structured to be delegated. Anyone reasonably comfortable with everyday business tools can execute it.

  3. 03

    Have us implement it

Done-with-you setup (from $750) or done-for-you implementation (from $1500). We quote each one based on the scope in your audit — no generic packages.

There's no pressure to engage further. The audit is a complete deliverable on its own.
